BEFORE YOU START

Have these ready.

  • Your organization has invited you into Records.
  • You know whose profile or which equipment record you are reviewing and have the relevant files and dates.
STEP BY STEP

Work through the basics.

  1. Find the right profile

    Open the Records member link below and locate the driver, fleet, or personnel profile you need. Check the identifying details before adding anything.

  2. Review what is present

    Look for missing documents or dates that require attention. A visible warning is a prompt to verify the source record with the responsible teammate.

  3. Attach and check documents

    Add records to the right profile using your organization’s process. Check that each file is legible, current, and associated with the right person or asset.

  4. Track expiration work

    Use recorded expiration dates to plan follow-up. Confirm replacements and dates from the source document before marking the task complete.

  5. Retrieve with permission

    Find the needed record and follow your organization’s access and sharing rules before sending it outside the team.

In a real workday

A dispatcher needs a current driver document: locate the driver profile, check the document and expiry date, and share it through the approved channel if your role permits.

  • A profile is absent? Check spelling, organization, and your access scope.
  • A document appears expired? Verify the date on the document and arrange an updated copy with the owner.
